Vineland Research and Innovation Centre (Vineland) is recruiting for a Coordinator, Administration to work in an industry-driven research environment.  Vineland is a world-class research centre dedicated to horticultural science and innovation. Duties & Responsibilities

Reporting to the Vice President, Operations, the successful candidate is responsible for providing a wide range of administrative and operational support for the department and Vineland. 

The individual acts as first-level support for customer service, telecommunications and information technology, minor facility issues and office administration. This includes, but is not limited to, providing initial triage, troubleshooting and support for service requests and all reported incidents/events.

In order to meet demands and priorities, the candidate self-schedules his/her workload, creates records in appropriate electronic databases, supports the department and corporate events where required.

KEY DUTIES AND RESPONSIBILITIES:

  • Provides administrative support and operational support to the department and Vineland
  • Assists in coordinating systems/services to ensure a healthy and safe environment for employees and visitors
  • Provides financial administrative support for the department including preparation of expense reports, purchasing card processing, petty cash
  • Provides IT technical support and problem resolution
  • Provides HR support by coordinating all administrative processes to manage internal staff movement, new hires, rehires
  • Manages and maintains departmental corporate records, including contracts, reports and policies; records, files, retrieves and archives files for storage; implements file management processes in accordance with corporate policy and established protocols
  • Acts as a resource for corporate employee programs and events

Qualifications

  • Post-secondary certificate or diploma in office/business administration or equivalent combination of education, experience and training
  • Minimum of three years administrative experience with exposure to payroll, cash management, accounting, budgeting and records management
  • One to three years of recent and related experience supporting Office Automation (OA) and Personal Computer (PC) software packages is an asset
  • Experience with troubleshooting, triaging and resolving desktop and hardware issues
  • Advanced proficiency in Microsoft Office Suite programs (Word, Excel, PowerPoint and Outlook)
  • Working knowledge of financial/payroll/HRIS electronic documentation software such as ADP Workforce, AccPac, SAGE
  • Must possess excellent communication (verbal and written) and interpersonal skills
  • Strong organizational, analytical and problem-solving skills
